Connect CrowdPass with Mailchimp

Sync CrowdPass attendees to Mailchimp audiences and segments automatically

Every event registration, check-in, and lead capture in CrowdPass can feed directly into your Mailchimp audiences with the right tags and segments applied. Build targeted post-event nurture campaigns, segment by ticket type or sessions attended, and trigger automations the moment someone interacts with your event.

Automations you can build

TriggerNew attendee registration in CrowdPass
ActionAdd or update a subscriber in a Mailchimp audience

When someone registers, their email, name, and custom field data are added to your Mailchimp audience with merge fields mapped. Tags like "registered," the event name, and ticket type are applied automatically so you can segment before the event even starts.

TriggerAttendee checks in at event
ActionAdd a tag to a Mailchimp subscriber

NFC badge tap at entry adds an "attended" tag to the subscriber's Mailchimp profile. This lets you segment registrants who showed up from those who didn't, and trigger different post-event email sequences for each group.

TriggerLead captured at exhibitor booth
ActionAdd subscriber to a Mailchimp audience segment

Each booth badge scan creates or updates the contact in Mailchimp and adds them to an exhibitor-specific segment. The exhibitor can run a targeted drip campaign to booth visitors within hours of the event closing.

TriggerNFC badge scanned at session
ActionUpdate Mailchimp subscriber merge fields

Session attendance data is written to custom merge fields on the subscriber's Mailchimp profile. You can track which sessions each person attended and send follow-up content matching their interests, like presentation slides or related whitepapers.

How event teams use this

Email Marketing Manager

Post-event drip campaign by attendance

After a 2,000-person marketing summit, the organizer segments their Mailchimp audience into three groups: registered-but-no-show, attended-one-day, and attended-both-days. Each group enters a different email automation. No-shows get a "sorry we missed you" sequence with session recordings. Full attendees get early-bird pricing for next year.

Content Marketing Lead

Session-based content delivery

NFC scans at session doors populate Mailchimp merge fields with session IDs. The marketing team builds automated emails that include slide decks and bonus materials only for the sessions each attendee actually attended. Open rates hit 62% because every email is personally relevant.

Trade Show Director

Exhibitor lead nurturing at scale

Each of 50 exhibitors at a trade show has a dedicated Mailchimp segment populated by CrowdPass badge scans. After the event, exhibitors launch their own branded email sequences through a shared Mailchimp account. The organizer provides templates; exhibitors customize and send within 48 hours of the event.
