Connect CrowdPass to Zoho CRM
Push event data into Zoho CRM Modules and Blueprints that enforce your follow-up process
Zoho CRM stands out for its process enforcement capabilities. Blueprints guarantee that every lead follows a defined path — no skipping steps, no forgotten follow-ups. Connecting CrowdPass to Zoho means event-sourced leads enter the same governed process as every other lead source. Badge scans create Leads that must pass through your qualification Blueprint before reaching sales. Custom Modules let you build event-specific data structures (Sessions Attended, Booth Interactions) that enrich the Lead record beyond basic contact info. If your organization runs on the Zoho ecosystem, this integration keeps event data inside your existing stack instead of creating another silo.
Automations you can build
Booth scans create a Zoho Lead with Source set to the event name. The Lead enters your Blueprint workflow — for example, requiring a qualification call within 48 hours before it can move to "Contacted." Zoho's assignment rules distribute leads by territory or product interest, and the Blueprint ensures no rep can advance the lead without logging the required fields.
Registrations create Contacts in Zoho CRM. If you use Zoho's custom Modules, the Zap can also create a record in an "Event Registrations" Module linked to the Contact, capturing ticket type, sessions selected, and dietary preferences. This keeps the Contact record clean while preserving event-specific detail in a related Module.
Check-ins update the Contact's record with attendance confirmation and timestamp. Zoho's Workflow Rules can trigger on this field change — sending an automated "Thanks for attending" email via Zoho Campaigns, creating a follow-up Task for the account owner, or updating the Lead Score using Zia's scoring model.
Paid ticket purchases create Deals in Zoho CRM tied to the Contact and the event Campaign. The Deal amount reflects the ticket price, and the stage is set to "Closed Won." This feeds into Zoho Analytics dashboards that track event revenue alongside subscription and service revenue.
How event teams use this
Blueprint-enforced event lead qualification
A B2B services company captures 500 leads at a trade show via CrowdPass. Each lead is created in Zoho CRM and enters a "Trade Show Lead" Blueprint. The Blueprint requires: (1) enrichment within 24 hours (rep fills in company size and budget), (2) a qualification call within 48 hours, (3) a disposition — "Qualified" moves to the sales pipeline, "Nurture" moves to a Zoho Campaigns drip. No lead can stall in limbo because the Blueprint blocks progression without the required actions. Management sees a real-time dashboard of where every lead sits in the process.
Custom Module for event intelligence
An event marketing team builds a custom "Event Interactions" Module in Zoho CRM. Each CrowdPass touch — registration, session check-in, booth scan, survey response — creates a record in this Module linked to the Contact. When a sales rep opens a Contact, they see a related list of every event interaction: which sessions they attended, which booths they visited, what feedback they gave. This context transforms the follow-up call from a cold reach-out into an informed conversation referencing specific interests.
