When a Tripleseat event moves to "Definite" status, CrowdPass creates a corresponding event with venue details, room assignments, event timeline, and expected headcount from the Tripleseat BEO. Badge templates are configured based on event type — corporate meetings get name-and-company badges, weddings get name-and-table badges, galas get name-and-VIP-tier badges.
When the host adds or removes guests from the Tripleseat guest list, CrowdPass creates or deactivates attendee records accordingly. Each guest receives an NFC badge with their name, table assignment, and any dietary icons from Tripleseat's catering notes. The sync runs continuously, so last-minute guest list changes from the host are reflected in CrowdPass up to the moment of the event.
As guests check in via NFC badges, CrowdPass sends the running headcount to Tripleseat. The event coordinator and catering team see real-time arrivals against the guaranteed count. If 180 of 200 guaranteed guests have checked in by the start of dinner service, the kitchen plates 190 (accounting for stragglers) instead of the full 200, reducing food waste and adjusting the final invoice.
New Tripleseat leads (inquiries for private events, corporate bookings, wedding consultations) are added to CrowdPass as prospect contacts. When the prospect attends a venue tour or tasting event, CrowdPass tracks their visit via NFC, and the visit data syncs back to Tripleseat to inform the sales team's follow-up — prospects who toured and tasted convert at 3x the rate of those who only received a proposal.

As guests check in, CrowdPass streams headcount to Tripleseat. The banquet captain sees that the Johnson wedding has 145 of 160 guests arrived 30 minutes in and alerts the kitchen to begin plating.
