Connect CrowdPass to Google Meet

Connect Google Meet virtual sessions to CrowdPass for lightweight hybrid event tracking

Not every hybrid event needs a full webinar platform — many conferences use Google Meet for smaller virtual sessions, speaker Q&As, and internal planning meetings. Connecting CrowdPass to Google Meet via Google Calendar means session scheduling, attendee invitations, and attendance tracking all stay in sync. When a CrowdPass attendee registers for a virtual breakout, they automatically receive a Google Calendar invite with a Meet link. Post-session, attendance data flows back into CrowdPass for unified reporting.

Automations you can build

TriggerCrowdPass session registration
ActionCreate Google Calendar event with Meet link

When an attendee registers for a virtual session in CrowdPass, a Google Calendar event is created with a Google Meet link and automatically sent to the attendee. The calendar event includes the session title, speaker info, and a link back to the CrowdPass event page for context.

TriggerGoogle Calendar event started
ActionSend notification to CrowdPass attendees

When a scheduled Google Meet session begins, CrowdPass can trigger a push notification or email reminder to registered attendees who have not yet joined, reducing no-show rates for virtual breakout sessions.

TriggerGoogle Meet recording available
ActionAttach recording link to CrowdPass session

When a Google Meet recording is saved to Google Drive, the Zap updates the corresponding CrowdPass session with the recording link. Attendees who missed the live session can access the replay directly from their CrowdPass event dashboard.

How event teams use this

Regional conference organizer

Virtual breakout sessions for in-person conferences

A regional tech conference offers 10 in-person tracks and 5 virtual-only tracks via Google Meet. CrowdPass handles on-site badge access and session check-ins. When an attendee registers for a virtual track through the CrowdPass app, the Zap creates a Google Calendar event with a Meet link on their calendar. The conference organizer tracks attendance for all 15 tracks in CrowdPass, regardless of whether they were delivered in a ballroom or on a screen.

Event production coordinator

Speaker prep meetings linked to event management

An event coordinator schedules 30 speaker preparation calls via Google Meet in the weeks before a conference. Each call is linked to the speaker's CrowdPass profile. When the meeting concludes, the recording is automatically attached to the speaker's CrowdPass record. The production team reviews recordings to prepare AV requirements, and speakers can reference their prep call notes — all accessible from the CrowdPass speaker portal.
