Connect CrowdPass to Workato
Unite IT and event teams with enterprise recipes that both technical and non-technical users can build
The gap between what event teams need and what IT can deliver is the biggest bottleneck in event technology. Event teams want integrations now; IT needs governance, security, and maintainability. Workato bridges this by letting business users build recipes (workflows) using a guided interface while IT sets guardrails: approved connections, data policies, and access controls. Connecting CrowdPass to Workato means the event team can build and modify their own automation recipes — syncing registrations to the CRM, routing leads to sales, pushing attendance to the BI platform — without filing IT tickets for every change. IT maintains control through Workato's governance layer, approving connections and setting data handling policies. Both teams move faster because neither is waiting on the other.
Automations you can build
Registrations trigger a Workato recipe that looks up the attendee's company in a Workato lookup table containing target account data (tier, assigned rep, industry vertical). The recipe enriches the registration with this context and routes it to the appropriate system: enterprise accounts go to Salesforce with the assigned rep notified, mid-market accounts go to HubSpot with a nurture sequence, and all registrants are added to the event email list.
Booth leads trigger a recipe with conditional steps based on lead data. If the lead's company is in the lookup table of existing customers, the recipe updates the customer record and notifies the account manager. If the company is a prospect, the recipe creates a new CRM opportunity. If the company is a competitor, the recipe logs the interaction but skips the CRM creation and alerts the competitive intelligence team.
Check-ins trigger a recipe that updates multiple operational systems: the venue's capacity management platform, the catering estimate tracker, and the event team's Slack channel with a running count. Workato's recipe versioning lets the event team adjust thresholds and routing rules for each event without starting from scratch.
How event teams use this
Self-service automation for the event team with IT guardrails
A mid-enterprise company's event marketing team runs 30 events per year and needs different CRM routing for each event type. Previously, every routing change required an IT ticket with a two-week lead time. With Workato, IT sets up approved CrowdPass and Salesforce connections with data policies (no SSN fields, PII encrypted in transit, audit logging enabled). The event team builds and modifies their own recipes using the approved connections — changing routing rules, adding new email sequences, and adjusting lead scoring without IT involvement. Recipe changes go through a lightweight approval workflow. The event team deploys changes in hours instead of weeks, and IT maintains security and compliance oversight.
Lookup table-driven lead routing across enterprise accounts
An enterprise sales organization maintains a target account list of 2,000 companies with assigned reps, tiers, and industry verticals. This list is uploaded to a Workato lookup table. When a badge is scanned at any event, the Workato recipe checks the lead's company against the lookup table. Matches trigger a high-priority path: the assigned rep is notified instantly, the lead is created in the rep's Salesforce pipeline, and a personalized follow-up email is drafted. Non-matches follow the standard lead processing path. The lookup table is updated monthly by the sales ops team through a simple CSV upload — no recipe editing required.
