Connect CrowdPass with Basecamp
Post CrowdPass event updates to Basecamp to-dos, message boards, and campfires
Basecamp's opinionated structure keeps event communication organized without configuration overhead. CrowdPass registrations create to-dos your team can assign and complete, check-in milestones post to the message board for async visibility, and lead captures fire messages into the campfire for real-time team discussion. No boards to configure or fields to customize.
Automations you can build
Each registration creates a to-do in your event project's "Attendee Prep" list with the attendee's name, details in the notes, and a due date for badge preparation. Team members claim to-dos and check them off as they complete prep tasks for each registrant.
NFC check-in milestones (first 100, 500, 1000 attendees) post update messages to the project message board. The message includes a snapshot of check-in stats, peak arrival times, and any flagged issues. Team members comment on the post with on-the-ground observations.
Each booth badge scan sends a campfire message with the lead's name, company, and booth visited. The campfire becomes a live feed of lead activity during the event. Sales team members reply to individual messages to claim leads and coordinate follow-up.
Post-event feedback creates to-dos on a "Debrief Action Items" list. Each to-do includes the feedback text, attendee sentiment, and the event area it relates to. The team checks off items as they implement improvements for the next event.
How event teams use this
Agency-client event collaboration
An event agency invites their client into a Basecamp project. CrowdPass registration updates post to the message board so the client sees progress without asking for status updates. To-dos for vendor bookings, logistics, and attendee prep are visible to both parties. The campfire is used for quick questions on event day. Everything is in one calm, organized place.
Small team retreat planning
A 50-person company plans its annual retreat using Basecamp and CrowdPass. Registrations create to-dos for room assignments, dietary coordination, and travel booking. On retreat day, NFC check-ins confirm arrival and post to the campfire so the team can see who has landed. The schedule in Basecamp links to CrowdPass session check-in data.
Non-profit event debrief workflow
A non-profit runs a fundraising gala through CrowdPass. After the event, feedback form submissions create Basecamp to-dos organized by category: venue, catering, entertainment, and donor experience. The board reviews the to-do list at their next meeting and assigns follow-up actions. The message board post with final attendance and revenue figures serves as the official event report.
